Managers
Team Managers are essential to keeping teams organised, informed and running smoothly each week, especially as players move into the older, more competitive age groups.
This page outlines your responsibilities across the season, highlights what changes by age group and provides useful links to support you in your manager role.
Core Responsibilities for All Age Groups
Belwest Foxes Soccer Club Inc. Member Protection Policy requires all adults over 18 who volunteer as a manager of a children's team to:
- Register as a volunteer on PlayFootball.
- Apply for, receive and maintain a Working With Vulnerable People card for the length of their service as a volunteer at Belwest.

Team Admin and Communication
- Be the admin and organisation lead for your team.
- Forward club information to players and parents/guardians.
- Keep your team updated on time, location and arrival expectations.
- Act as the liaison between coach, committee and families, helping circulate key club messages.
Volunteers and Club Duties
- Organise volunteers from your team for BBQ and canteen roster shifts when your team is rostered. This is mandatory and may happen more than once.
- Organise volunteers for field setup and pack-down when rostered. Check the Latham board/roster and do not leave it to committee members.
Respect, Behaviour and Issue Escalation
- Help set the standard: no abuse of referees or game leaders, and address poor sideline or player behaviour early.
- If an incident or complaint occurs at training or games, email the club. Do not contact Capital Football directly; the club will escalate on your behalf.
Uniforms and Club Equipment
- Organise a washing roster so shirts are washed as a set and returned reliably.
- Do not issue playing strips to individual players. This is a major cause of lost or damaged strips each season.
- Shirts are for match day only.
- Match balls must not be used for training.
- Teams must return shirts and equipment at season end. Missing shirts may incur a replacement fee.
What Changes by Age Group
MiniRoos Under 5/6
Focus: Fun, participation and simple organisation.
Your key responsibilities:
- Be the main contact for parents and share weekly reminders about where to go, start time and what to bring.
- Support the weekly skills session from 10:00 am. Parent helpers are required.
- Manage team shirts as a set, not issued individually.
- Coordinate the weekly shirt washing roster.
- Keep sideline behaviour positive and supportive.
Match day essentials:
- Arrive early to help children settle.
- If no game leader attends, help coaches start games on time.
- Help with any basic field pack-up if required.
- Ensure equipment is returned to the container after games.
MiniRoos Under 7-Under 9
Focus: Communication, field logistics and teamwork.
Your key responsibilities:
- Manage team communications through Spond, including events, attendance and messages.
- Keep parents informed about draws, kick-off times and any changes.
- Organise parents for field setup and pack-down when your team is rostered.
- Manage team shirts and washing roster as a group.
- Coordinate volunteers when your team is rostered for BBQ or canteen.
Match day essentials:
- Check the field allocation board at Latham.
- Ensure all players arrive on time and are in correct uniform.
- Promote respectful behaviour towards referees and game leaders.
Juniors Under 10-Under 11
Focus: Transition to structured competition.
Your key responsibilities:
- Ensure you are registered as a manager/volunteer, which is required for systems access.
- Use Spond for team communications and Dribl for competition information.
- Support the coach with match day organisation, including arrival times and availability.
- Help families adjust to grading and increased structure.
- Manage team numbers and availability carefully. Teams are usually around 12-13 players.
Match day essentials:
- Check fixtures and venues in advance through Dribl.
- Confirm player availability mid-week.
- Submit team sheet through Dribl prior to each game.
- Ensure correct uniform and equipment are available.
Juniors Under 12-Under 13
Focus: Match administration, compliance, discipline, organisation and fair play.
Your key responsibilities:
- Continue all responsibilities from U10-U11.
- Complete 3-2-1 Best & Fairest submissions after each match.
- Ensure players understand expectations around behaviour, punctuality and respect.
- Support coaches with player availability and substitutions.
- Set expectations around respectful sideline behaviour.
- Support field setup and pack-down requirements.
Match day essentials:
- Submit 3-2-1 sheets for home games in the white box near the canteen.
- Confirm attendance and team list before match day through Dribl.
- Organise a parent to do CVO duty.
- Be ready for more formal application of game rules at U13.
- Escalate incidents to the club rather than contacting Capital Football directly.
Juniors Under 14-Under 18
Focus: Full-field football and highest admin load.
Your key responsibilities:
- Complete match cards in Dribl after every game with the referee and opposition manager.
- Manage player availability and team selection timelines.
- Submit 3-2-1s every round.
- Coordinate volunteers for BBQ, canteen and field duties.
- Manage forfeits correctly through the club.
Match day essentials:
- Organise a parent to do CVO duty.
- Finalise Dribl match card before leaving the ground.
- Double-check uniform compliance.
- Ensure all club equipment is collected and secured.
Seniors
Focus: Formal competition standards.
Seniors use formal competition systems, and match day expectations are typically higher again around availability, punctuality and administration. Fixtures and times are published through Dribl.
Your key responsibilities:
- Use Dribl for fixtures, match cards and results.
- Ensure player availability and punctuality.
- Support coaches with match day logistics.
- Maintain professional standards on and off the field.
Match Day Checklist
Before the Game, 1-2 Days Out
- Confirm match time and location and push a reminder.
- Check attendance and flag shortages early.
At the Ground
- Ensure the strip is present as a set and manage distribution and collection.
- Coordinate field setup and pack-down.
- Promote respectful behaviour from players and spectators.
- Organise CVO duty where required.
After the Game
- Finalise the match card in Dribl at the field.

Dribl for U10-Seniors
Dribl is Capital Football's competition management system for match day operations including team sheets, match cards, results, team selection and team official selection.
All managers must be registered in PlayFootball under the team manager package before they can access and perform Dribl manager functions. Use a different email address to any children registered by you.
Download the Dribl App from the App Store on your phone and activate your account using the details you registered with.
Capital Football Dribl competition management guides, or Dribl Help, are available to help you get started. Dribl Help is easier to use on a PC, notebook or iPad.

Club Communications and Team Management
Belwest Foxes Soccer Club is moving to Spond as our primary communication and team management platform. Spond will complement other communication channels such as emails, SMS and chat groups.
This shift will help ensure all communication is consistent, timely and easy to access for players, parents, coaches and managers.
Spond provides a central place for team chats, event scheduling, attendance tracking and updates, making it much easier for managers to stay organised and for families to stay informed. Bringing communication into one platform reduces missed messages, duplication and confusion across multiple channels.
Managers will be able to:
- Manage team sub-groups.
- Create training sessions and other team-specific events.
- Track player availability through attendance requests.
- Share updates and important information in one place.
Families will be asked to join the club in Spond using a club code, with access approved by the club. We encourage all communication to remain within Spond rather than private chats, to ensure transparency and that everyone receives the same information.
While email and SMS may still be used for critical club-wide announcements where needed, Spond will be the primary tool for day-to-day club and team communication and coordination throughout the season.
